How do I set up Deal Intelligence?

Learn about Deal summaries, when to use one, and how to set up a workflow.

Sales leaders know to let their reps do the selling, only stepping in when needed or asked. But, how do you know you're needed without asking?

Deals involve lots of moving parts, people, and details, which can be tough for Sales leaders to keep track of. Now imagine having a handy summary of all emails, meetings, and chats about an ongoing deal, making it easy to jump in and offer support or guidance without chasing your reps for updates all the time.

Deal summaries do just that, giving you the whole truth and nothing but the truth of what's going down with a Deal, using AI. Deal Intelligence workflows compile data from various sources to create detailed summaries for any Opportunity that meets the specified criteria.

Use-cases:

  • Send a Deal Summary when Forecast Category changes to Commit for Sales Leaders to quickly understand why a Deal was moved to Commit.

  • As a sales leader, you receive an alert that a Deal has abruptly been marked as Closed-lost, so you use a Deal summary to give you context for a win-loss analysis.

  • When a deal has been marked Closed-won, send a Deal Summary to the Deal Room channel for CSMs to quickly gain context.


Pre-requisites:

The following integrations will need to be completed before you begin using Deal summaries.

  1. CRM integration - Presently, only Salesforce is supported.

  2. Call-recording integration - Deal summaries are compatible with Zoom, Gong or Chorus.

  3. Collaboration platform - At present, only Slack is supported.


Setting up a Deal Summary:

Check out the new 'Rattle AI' tab on the main navigation menu at the left of your screen. It's where you'll find all our smart features grouped for easy access, such as Deal Intelligence, and Meeting Intelligence.

1. Create a new workflow

Navigate to the Rattle AI tab, select Deal Intelligence, and click Create workflow.


2. Name the workflow

Give your workflow a name that indicates its purpose. This name won't be displayed in your Slack alert, but is helpful for Rattle admins to differentiate between workflows. In this example, let's create a workflow to send us summaries of New business Deals that hit the Negotiations stage.

We've pre-selected Opportunity as the Salesforce object to trigger alerts, as this workflow specifically analyzes content from the Deal object, which is nested within the Opportunity object in Salesforce.


3. Select the trigger

Choose whether you want intelligence shared as and when the Deal is updated, or on a recurring schedule. If you select 'On a recurring schedule', you can set the frequency of the updates lower down in the workflow.

For our example, we've gone with 'When an Opportunity is updated', because we'd like to know as soon as possible, that a deal has hit the negotiation stage, to quickly provide context to everyone in the Deal Room as soon as possible.


4. CRM conditions

Use the condition filter tool to identify the type of Deal you wish to receive a Deal summary for.

In our example, we've selected New Business Deals, marked at the negotiation stage.

Here's a real call example identified with the conditions set, displayed within the Deal overview section of your Slack alert.

The Deal name, stage, close date, and interaction count (Zoom, Gong, Chorus calls)are default fields.


5. Message frequency

This section will be visible only if you've selected the 'On a recurring schedule' trigger. In the example below, we've set the workflow to send us a Deal summary at 9 am on every Monday, New york time.


6. Message content

Here's where the AI comes in.

In your Slack message body, you'll receive a list of prompts generated by the AI, drawn from four distinct data sources.

Summary section

We've pre-programmed a few default prompts to get you started. You can carry out the following actions to customize your Deal summary, and you can always revisit the workflow and make adjustments.

  • Click the eye icon to view the prompt text. (You can't edit default prompts, but you can toggle them off and create a new one!)

  • Hold and drag the equals icon to reorder the prompts.

  • Toggle prompts on and off

  • Add custom prompts - All you need is a prompt title, and a description.

Data sources

There are 4 data sources that Deal Intelligence uses to pull information from to give you clear context on the Deal:

  1. CRM fields - Add and remove fields as you need

  2. Call recorder - All calls recorded through Gong, Zoom or Chorus

  3. Slack Deal Room conversations - all messages sent to the Deal Room

  4. Emails - All emails logged on Salesforce for this Deal


7. Message delivery

Choose exactly to whom and how the Deal summary will be delivered on Slack:

  • DM or Channels - Sends the Alert to the individual or a channel

  • Group DM - Creates a Slack group of the selected people, and sends the Rattle alert to the group

    Dynamic fields:

  • Cross object - Sends an alert to a related user field

  • Slack deal room - Sends an alert to the Deal room channel on Slack

That's it! You now know how to set up a Deal summary.
