This is Rattle's most straightforward yet powerful workflow: the create/update trigger, where an alert is activated based on the creation or update of an object.
Use cases
Celebrating when your team won a big deal
Updating MEDDIC fields when you change a stage
Close Date is moved out of the quarter
Getting notified when your rep gets assigned a new lead
Get an alert when you are assigned a case
Managing customer support tickets
Setting up a workflow
1. Create a new workflow
Navigate to Workflows>General from the main menu on your left. Click Create workflow.
2. Salesforce object
Give your workflow a name that indicates its purpose. For example, New MEDDIC field update, Support ticket raised, New AE assigned to Customer Account.
Next, select the Salesforce object to on which you'd like to create the alert. Rattle supports both standard and custom objects.
3. Type of Alert
There are four types of Alerts for a General workflow:
Create/Update - Triggers an alert when a specific condition tied to the creation or update of an object is met. This type is selected by default
Time-based - This workflow uses date fields as the primary trigger conditions.
Moment-in-time - Groups notifications following similar criteria together, and sends them as a group update, saving users from opening multiple separate notifications for related tasks or events
Stuck in stage - Keeps you informed if an Opportunity remains in a specific stage for a duration longer than expected.
4. Trigger conditions
Define the filters that would trigger this workflow. You can add as many conditions on any field of the object.
β
In the example below, we've set conditions such that the workflow will trigger if there is a change in:
Opportunity stage: Change from Negotiation/Review to any other stage
Opportunity type: Change of state - Upgrade, Downgrade, or Replacement of an Existing Customer
5. Notification toggles
Two toggles manage how you receive notifications.
Record Creation:
Toggle 'Send message only when a record is created' for alerts on new records.
Turn off to receive alerts for both new records and updates.
Conditional Messaging:
Toggle 'Send a message when conditions are met' to receive Rattle alerts for this workflow on Slack/MS Teams.
Turn off to disable messages, even if conditions are met. Useful if you want to add a workflow block to your Atlas, without sending out messages.
6. Configure your Rattle alert
Opening text
Customize the alert users will receive. Make sure the 'Send a message when conditions are met' button is turned on, and add opening text for context.
Message fields
Select Message fields for extra details. Choose from fields in the Principal object and all related objects.
In this example, we've picked the Full name, Email, Website, and Lead source, from the Lead object, and the Owner's name from the Owner object.
Convey sentiment with GIFs
Add an emotional tone to your alert by selecting GIFs. Choose a type, and Rattle will display a rotation of GIFs with each sent alert.
7. Message buttons
This is where Rattle does its thing. Once you receive the alert about an update or new record on your Slack, you can add Message buttons (also called Action buttons) to swiftly operationalize the information received from the alert.
β
Here's how:
Select the button, name it according to the function it carries out, and select the object.
Here we've opted to update the Principal object - Lead
β
The Update, Create, and Update lookup object buttons allow you to designate fields as mandatory or include pre-filled values in your alerts. Click on the Gear icon to configure these settings.
8. Message delivery
Choose exactly to whom and how the summary will be delivered on Slack:
DM or Channels - Sends the Alert to the individual or to a channel
Group DM - Creates a Slack group of the selected people, and sends the Rattle alert to the group
Deal rooms - Select deal rooms to send the Alert to an existing Deal room channel on Slack
That's it! Hit Create workflow and you're good to go.
